Having worked in client delivery leadership roles for many years, I’ve experienced first-hand the pressure of juggling client demands, stakeholder expectations, team management, and tight project deadlines.
The constant influx of projects and last-minute requests only adds to the stress, often leaving little time for personal life. However, by streamlining work processes and adopting a strategic approach to tasks, it's possible to reduce work hours, enhance performance, and create more time for other areas of life.

The Situation: A Balancing Act
A typical workday as a client delivery leader might start early, responding to urgent emails from clients and stakeholders. Sometimes, first thing in the morning my inbox would be flooded with requests for updates, new project updates, feedback on ongoing tasks, and emails from team members needing my support or asking questions about something they were working on.
Most days, I would have back-to-back meetings for most of the day, with extra questions coming through from my team. It would be a struggle to keep up with the reactive requests and daily events, let alone proactively get what I needed to do to get on top of my actual job.
By the time I finished work, my mental energy had been exhausted and I had nothing left to do something other than collapse in front of the TV.
I don’t think my situation was unique. It’s hard to take a step back so that you can balance work with the rest of life.
However it’s possible to change ways of working, streamline work processes, and rethink your approach to work.

Identifying the key pain points that contribute to stress and efficiency is an essential first step. Common issues include:
Email overload: constantly checking and responding to emails can be a significant time drain.
Meeting mania: excessive meetings can disrupt workflow and reduce productive time.

Assess the necessity: before scheduling a meeting, consider if the same outcome can be achieved through an email or a quick call. If you’re invited to a meeting, be sure it’s going to achieve something you need to on your to do list.
Set clear agendas: ensure every meeting has a clear agenda and objectives. This keeps discussions focused and time-efficient. And if a meeting you’re invited to doesn’t have an agenda, get one.
Limit meeting duration: where possible, set a 30-minute time limit for meetings and stick to it. This encourages concise discussions and quick decision-making.
Prioritisation and time management
The Eisenhower Matrix: Use the Eisenhower Matrix to prioritise tasks based on urgency and importance. This helps in focusing on what truly matters.
Time blocking: use the Pomodoro Method (a game changer for me) to allocate specific blocks of time for different tasks. This method helps maintain focus and prevents tasks from spilling over into personal time.
Delegate and automate: delegate tasks that can be handled by others and automate repetitive tasks using tools and software.
Process optimization
Review and refine: regularly review your work processes to identify bottlenecks and areas for improvement. Simplify or eliminate unnecessary steps.
Leverage technology: use project management tools (Trello is my favourite and it’s free to use up to a certain level), collaboration platforms, and automation software to streamline workflows and improve efficiency.

Encourage open communication: create an environment where team members feel comfortable sharing their challenges and suggestions for improvement.
Promote work-life balance: encourage employees to take breaks, set boundaries, and pursue interests outside of work. Lead by example, and encourage others to do the same.
